Gravity Booking v2.8 is Now Live | Release Notes

Gravity Booking v2.8 version update has been rolled out with 3 upgrades. These feature updates give admins more control over 

  • booking forms, 
  • custom fields in email notifications to the order of dropdown options, and 
  • conditional field logic.

Here is what this Gravity Forms Booking version update covers and how to set it up.

Configure A Custom Or Additional Field Merge Tag

Gravity Forms Bookings can now display the value of any custom field you add to your booking form directly inside its automated emails. 

Every custom field gets its own merge tag in the format {gf_field_<ID>}, and you can find it on the field’s Advanced tab.

This gives you the flexibility to add fields like Company Name, VAT Number, or any other detail your booking process needs, then surface that information wherever it matters: 

  • The appointment details panel, 
  • The admin entry view, and 
  • The email notifications sent to staff or customers.

Back-end settings

  • Go to WordPress Admin Dashboard > Forms and open your booking form.
  • From the Add Fields panel, drag a Single Line Text field onto the form and label it (for example, Company Name).
  • Select the new field and open Field Settings > Advanced.
  • In the Gravity Booking box, enable Show in Appointment Details to display the value in the Appointment Details panel.

  • Copy the Merge Tag shown for this field. The tag number matches the field’s Gravity Forms ID, so it will differ for every field. Always copy the tag shown for your specific field.

  • Click Save Form.
  • Go to WordPress Admin Dashboard > Gravity Booking > Email Notifications and expand the template you want to edit.
  • In the Message editor, add a label and paste the merge tag, for example: Company Name:{gf_field_9}.

Note: the {gf_field_X} tag only resolves inside Gravity Booking email templates. It does not work in native Gravity Forms notifications.

Drag And Drop Sort Order For Booking Options

The Gravity Booking field renders 4 booking dropdowns on the front end: Location, Service Category, Service, and Staff. 

With this product update, admins can now set the exact order these options appear in, using a simple drag-and-drop list for each dropdown.

Each list works independently, so reordering Locations has no effect on Services, Service Categories, or Staff. You set each one on its own.

Back-end settings

  • Go to WordPress Admin Dashboard > Forms and open your booking form.
  • Click the Gravity (GFB Calendar) field to select it, then open Field Settings > General.
  • Locate the Sort Order (drag to reorder) list under each of Select Location, Select Service Categories, Select Service, and Select Staff.

  • Use the drag handle next to an item, then move it up or down. A highlighted band shows where the item will land.

  • Repeat for Locations, Service Categories, Services, and Staff as needed.
  • Click Save Form. A Form Updated confirmation appears.

If the new order does not show up right away, confirm you clicked Save Form, then hard refresh the page since the dropdown may be cached.

Conditional Logic For Booking Form Fields

Conditional logic shows or hides a field on the front end based on what the customer selects in another field. With this version update release, that logic now extends to the Gravity Booking dropdowns, so admins can control field visibility based on Location, Service Category, Service, or Staff.

For example, you can set a Company Name field to appear only when the customer selects a specific location, and keep it hidden for every other location.

Back-end settings

  • Go to WordPress Admin Dashboard > Forms and open your booking form.
  • Select the field you want to control, for example Company Name.

  • In Field Settings, scroll to Conditional Logic and turn on the Enable Conditional Logic toggle. The badge reads Active once a rule exists.

  • Build the rule. It reads like a sentence: Show or Hide this field if All or Any of the following match: [field] is or is not [value].
  • Choose Show or Hide to set whether matching the condition reveals or removes the field.
  • Choose All if every condition must match, or Any if one match is enough.

  • Pick the driving field. The Gravity Booking dropdowns appear here as Gravity (Location), Gravity (Service Category), Gravity (Service), and Gravity (Staff).

  • Set the operator and value, and use the plus button to add more conditions if needed.

  • Close the dialog and click Save Form.

Note: for the Gravity Booking dropdowns, always choose the Gravity (…) entries as the driving field, not a same-named text field.

Ending Note 

Gravity Booking v2.8 gives admins finer control over booking forms: custom fields that flow straight into email notifications, dropdown options that follow the exact order you set, and conditional logic that adapts the form to each customer’s selections.

Update to v2.8 from your admin dashboard to start using these features on your appointment booking forms.
